This policy describes what Diplomat Rides does with the information you send us. It is written to match how the website actually works — nothing more is implied.
1. What we collect
When you submit the quote request form, we receive only what you type into it: pickup location, destination, requested date and time, vehicle preference, your name, phone number, email address, and any optional notes. We also record the time of submission and a reference code.
To limit automated abuse of the form, our server creates a one-way scrambled fingerprint from your email address and network address. That fingerprint cannot be reversed into either value, and we do not store your raw network address alongside your request.
We do not run advertising or analytics trackers on this site, and we do not set marketing cookies. If you contact us by phone, email, or WhatsApp, that conversation is held with that provider under their own terms.
2. How we use it
We use your details for one purpose: to reply with a quote and arrange the journey you asked about. Your request is stored in our booking records and emailed to our reservations inbox so a person can respond. We do not sell your information, and we do not add you to a marketing list from a quote request.
3. Who can see it
Access is limited to the Diplomat Rides team members who handle reservations, and to the chauffeur assigned to your journey — who receives only what is needed to complete it. Our website hosting, database, and email delivery providers process this data on our behalf in order to run the service. We may disclose information where required by law or to protect someone's safety.
4. How long we keep it
Quote requests are retained only as long as reasonably needed to correspond with you, deliver the service, meet our business and legal obligations, and handle any dispute. Abuse-prevention fingerprints are used only for short-window abuse prevention and are removed periodically. You can ask us to delete your request at any time and we will do so unless we are required to retain it.
5. Your choices
You may ask us what we hold about you, ask for corrections, ask for deletion, or withdraw your consent to be contacted. Email book@diplomatrides.com or call +1 416-937-2441 and we will action it. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
6. Security
Requests are transmitted over an encrypted connection and stored in a database that is not readable from the public website. No system is perfectly secure, so please do not send payment card numbers, passport details, or other sensitive documents through the website form.
7. Children
The website is intended for adults. We do not knowingly collect information from children through it. Children are of course welcome as passengers when a booking is made by an adult.
8. Changes and contact
