These terms apply to the Diplomat Rides website and to chauffeur and private tour services we arrange. Using the site or booking with us means you accept them.
1. Quotes are not confirmations
Submitting the website form sends us a request, not a booking. Your journey is booked only once we reply in writing with a flat quote and confirm the details with you. Availability of any specific vehicle is subject to confirmation.
2. Pricing and payment
Confirmed quotes are flat and stated before your journey. They cover the route and duration agreed. Changes made on the day — added stops, extended waiting, a longer route, or a different vehicle — may change the price, and we will tell you before proceeding wherever possible. Taxes, tolls, and any gratuity are treated as set out in your written quote. Payment terms are agreed at confirmation.
3. Waiting time
Please send your flight number for airport pickups so we can plan around your scheduled arrival. Any waiting time included with your journey, and any charge that applies to waiting beyond it, are set out in your written quote. For all other pickups, please be ready at the agreed time so we can keep the rest of the day on schedule.
4. Changes and cancellations
Tell us as early as you can and we will do our best to accommodate changes at no cost. Cancellation terms, including any notice period and applicable charge, are stated in your written quote or confirmation. Cancellations for reasons outside anyone's control are handled case by case.
5. Timings and conditions
We aim to arrive early and drive safely. Traffic, weather, road closures, airport operations, flight schedules, and mechanical issues can affect timings, so please allow adequate time for flights, events, and meetings, and tell us if a journey is time-critical so we can plan accordingly. Nothing in these website terms removes consumer rights that cannot be waived.
6. Vehicles
Vehicle images on this site illustrate the class of vehicle; the exact model assigned may differ. We can confirm the vehicle and the arrangements that apply to your booking on request.
7. Passenger conduct
Seatbelts must be worn. Smoking and vaping are not permitted in our vehicles. Consumption of alcohol is only permitted where lawful and agreed in advance. Passenger numbers must not exceed the seating capacity, and child seats should be requested when you book. We may end a journey where behaviour is unlawful or unsafe for the chauffeur or other passengers. Cleaning or damage caused during a journey may be charged at cost.
8. Luggage and belongings
Please tell us about luggage volume, sports equipment, or pets in advance so we assign a suitable vehicle. Belongings are carried at your own risk. If something is left behind, contact us promptly and we will make reasonable efforts to return it.
9. Private tours
Tour durations, routes, and inclusions are confirmed in your written quote. Admission fees, tastings, and meals are only included where the quote says so. Sites and attractions set their own hours and may close without notice; we will propose alternatives where that happens.
10. Website use
Site content, images, and branding belong to Diplomat Rides and may not be reproduced without permission. Please do not attempt to disrupt the site or submit the form automatically or in bulk.
11. Governing law and contact
